Artificial intelligence technology promises a lot for the future, but one of the positive things organisations are already taking advantage of is increased efficiency.
ResourceSpace customers are already reaping the benefits of AI thanks to our OpenAI integration, leveraging productive tools that are capable of transforming Digital Asset Management (DAM).
However, a key to unlocking this is proper prompt engineering.

AI prompt engineering is the process of crafting clear, precise instructions to direct artificial intelligence systems how to generate or interpret information. Put simply, it’s about learning how to ‘speak AI’ in a way that will create the right result. For example, the way a question or command is written can dramatically affect the quality and accuracy of the AI response, whether that’s generating text, analysing data or tagging digital assets.
In the context of DAM, prompt engineering allows users to harness AI tools more intelligently to streamline repetitive or time-consuming tasks. By writing clear prompts, DAM Managers can instruct AI to automatically generate metadata effectively, resulting in faster and more accurate cataloguing, and a smoother workflow for managing your asset library.
As AI technology is integrated into Digital Asset Management, prompt engineering is emerging as a key skill for DAM Managers who want to get the most value from their systems.
The quality of an AI’s output depends entirely on the quality of the prompt it’s given. A vague or poorly structured instruction can lead to inconsistent or inaccurate results, while a clear, well-crafted prompt delivers precise and repeatable outcomes.
For DAM teams managing thousands of assets, this precision can translate into significant improvements in terms of efficiency. Instead of manually entering metadata or sorting through untagged content, users can create standardised prompts that automate these tasks reliably.
By learning how to guide AI tools thoughtfully, DAM Managers can ensure automation enhances accuracy rather than introducing errors, ultimately transforming how digital assets are organised, discovered and used across the organisation.
Here are some of the different ways AI prompts can be leveraged in ResourceSpace to streamline digital asset production workflows:
Let’s take a look at each one and how they work.
The dynamic and intuitive search functionality within a DAM is powered by relevant metadata, but adding keywords can take a huge amount of manual effort for DAM Managers, particularly when it comes to large collections.

With that in mind, one of the simplest but most valuable uses of an AI prompt in ResourceSpace is for creating a list of relevant keywords, based on the contents of the asset.
Example prompt:
“Create a comma-separated list of relevant tags that will help improve the future searchability of this image. Exclude any labels such as 'Tags:' and square brackets - just provide the keywords.”
Ecommerce retailers often require large product image libraries, and although a DAM can make storing, managing and finding the right image fast and efficient, there are still a lot of other tasks that need to be completed for each individual asset in order for it to be useful—for example, creating marketing copy (such as a clear description) for each product.
In the past a marketing manager or executive would have to spend hours creating all of this copy, but ResourceSpace can generate it automatically.
This might be copy for a product description or social media content tailored to specific channels, for example, limited to 280 characters for X.
Example prompt:
“Generate promotional marketing copy for the product featured in this image. Limit the output to no more than 280 characters."
Adding unique alt text to every asset in your image library takes DAM and Marketing Managers a lot of time, and it’s often overlooked because the benefits aren’t always obvious.
However, alt text is important for two reasons:
Fortunately, generating relevant, unique alt text for your digital assets is made easy by the ResourceSpace-OpenAI integration.
A perfect demonstration of this is how the MCC used the integration when they needed to add alt text to every image they acquired and added to the DAM, while the editors uploading the images to ResourceSpace weren’t trained in content production and some weren’t native English speakers.
ResourceSpace’s OpenAI integration allowed MCC to offload the task of creating all of that alt text. When images are uploaded to their DAM system, the GPT language model looks at the photo and describes it in 250 characters or fewer automatically.
Example prompt:
“Write an alt text description for this image.”
Free-text alt text fields are useful to ensure precise, granular tagging, but if the tags are too unique it can make it difficult to find related assets. This is where pre-defined keyword lists can come in useful, providing broader categorisation that makes it easier to surface collections of assets.
Example prompt:
“From this list of options; 'Happy', 'Sad', 'Excited', 'Afraid', ‘Worried’ - identify which option best describes the emotions experienced by the people depicted in the image. If none apply do not return a value. Only return options from the list or no value. Do not return any other text.”
This is just one example of the advanced image processing the ResourceSpace-OpenAI integration can handle - useful when you’re looking for content that will fit with a specific design or marketing campaign.
Example prompt:
“Identify the most predominant colour. Just return one colour and no other text.”
ResourceSpace has always been at the forefront of Digital Asset Management innovation, and we’re excited about the opportunities and benefits available to our customers thanks to our OpenAI integration and AI-powered functionality.
