Situated within 500 acres of stunning West Yorkshire landscape, Yorkshire Sculpture Park is the leading international centre for modern and contemporary sculpture. Welcoming around 380,000 visitors each year, YSP is a registered charity and accredited museum, and is the largest sculpture park in Europe.
YSP has close to 100 fascinating works on display from all over the world, as well as several indoor exhibitions, showcasing sculptures from some of the most exciting artists and hottest talent—but their previous Digital Asset Management solution was anything but dynamic, making it hard to promote their exhibitions and bring them to life for an online audience.
“All of our digital assets were stored in folders spread across a central server,” recalls Kirsty Young, Head of Marketing and PR at YSP.
“This led to a huge number of challenges, particularly in terms of asset duplication and many, many, many wasted hours trying to find suitable images for various purposes.
“And when you did find something suitable for what you needed, the asset often didn’t have the relevant consent permissions, captions or meta data attached to it—it was basically a bit of a dumping ground.”
This lack of advanced search functionality led YSP to evaluate a dedicated DAM system, onboarding onto ResourceSpace towards the end of 2024.
YSP was founded back in 1977, so it’s no surprise that there was a huge library of digital assets that needed to be transferred from their old server to the new DAM—over 100,000 in fact.
“The volume of data, including photos, video and audio, was one of the major challenges of this project,” says Kirsty.
However, thanks to Senior Customer Success Manager Mel Francis, YSP was able to successfully migrate to ResourceSpace, and are now in a position where they’re able to plan the decommissioning of their central image library, saving significant money and resource.
“We went through the entire setup process with Mel who is absolutely amazing, and she has been on hand every week to talk about things we don’t understand. The support we’ve had through the whole project has been excellent.”
The objective of the DAM implementation was to make sure people could more quickly and effectively find the assets they need, and that they all had the relevant consent and licensing documentation with them. ResourceSpace has been able to achieve both of these goals with ease.
“I very much like the new AI functionality—it takes search to a whole new level,” says Kirsty.
“Instead of searching based on how assets are tagged or which alt text is associated, the AI search allows you to be more generic in your search terms, and the reverse image lookup is great too. This new way of searching is very useful for the teams, particularly the marketing team.”
A common requirement for organisations working in the arts is to be able to easily share and receive new assets from third-parties, specifically photographers and other galleries, and this is another area where ResourceSpace has excelled for YSP.
“Something people are really benefitting from is the ability to share externally or receive from photographers into the system, saving a lot of legwork on getting approvals, internally and externally.
We offer a number of useful integrations out of the box, but our full REST API also allows for almost limitless custom integrations, and this is something YSP was able to take advantage of.
“With the support of Mel and the tech team, we were able to build an integration with our content management system, making it much easier to transfer assets from the DAM to the website, without having to transfer everything in the system,” explains Kirsty.
“We use a flag in the DAM that says ‘Suitable for web’, which triggers the transfer automatically, greatly reducing manual work and making sure only suitable content is available in our CMS.”
YSP has been using ResourceSpace for a little over 12 months, and Kirsty and teams across the organisation are in no doubt about the benefits the DAM implementation has offered them.
“It’s undoubtedly been a very pleasurable experience working with ResourceSpace, and I would definitely recommend them,” concludes Kirsty.
